Course Access & Extension Policy
Standard Program Access Period
All students enrolled in an Advanced eClinical Training (ACT) program receive twelve (12) months of unlimited access beginning on the official Program Start Date.
During the standard enrollment period, students are granted access to the following resources:
- The ACT learning platform
- Instructional materials
- Simulation platforms
- Certification preparation resources
- Student support systems
- Career and externship placement
- Program coursework and assessments
Students are expected to complete all academic and certification-readiness requirements within the original 12-month enrollment period.
Official Program Start Date
Your Official Program Start Date is defined as the date you receive your login credentials and gain access to the learning platform.
You can find your exact expiration date in:
- The Student Dashboard under "My Program"
- Your Course Welcome Email from ACT sent immediately upon course payment and enrollment.
Course Extension Policy
If a student requires additional time to complete the program beyond the initial 12-month enrollment period, they may request a course extension.
Approved extensions will be granted in six (6) month increments, and a $400 extension fee will apply for each additional six-month period of access.
Extension requests must be submitted prior to the expiration of the student’s enrollment period.
Extensions are designed for students who:
- Need additional study time
- Experienced personal or medical challenges
- Took time away from the program
- Need additional preparation before certification
- Need extra time to complete graduation requirements

Eligibility
To be eligible for a course extension, students must meet the following requirements:
- Be actively enrolled at the time of request (not previously terminated or withdrawn);
- Be in good academic standing (no unresolved academic integrity violations or unresolved Notices of Concern);
- Be in good financial standing (no past-due tuition, fees, or payment-plan delinquencies);
- Have demonstrated meaningful engagement with the program (defined as completion of at least one module, or documented good-faith effort, within the prior 60 days, OR documented extenuating circumstances explaining inactivity);
- Submit an extension request before the original enrollment end date, at least seven (7) calendar days prior to the expiration of the current enrollment period.
How to Request a Course Extension

Your request must include:
- Student's full legal name
- Email address associated with course
- Program of enrollment
- Current enrollment expiration date
- Reason for the extension request
- Supporting documentation
- Preferred payment method for the extension fee

What an Extension Includes
An approved course extension continues the student's existing enrollment and includes:
- Continued access to all course materials, the LMS, simulations, and the NHA/PTCB/AMCA learning dashboard
- Continued instructor support, mentoring, and office hours
- Continued eligibility for the covered initial national certification exam attempt, provided eligibility requirements (Section 12) are met during the extension period
- Continued Externi platform access (for applicable programs)
- Continued externship coordination and placement support, subject to clinical-site availability and state regulatory deadlines (e.g., state-imposed post-certification externship windows)
Curriculum & Platform Updates
ACT continuously improves and updates its curriculum, simulation systems, technology infrastructure, and learning materials to align with:
- Employer expectations
- National certification standards
- Regulatory changes
- Healthcare best practices
- Technology upgrades
Students receiving extensions may receive access to updated versions of:
- Coursework
- Simulations
- Assessments
- Policies
- Program structures
ACT does not guarantee continued access to older curriculum versions, retired software systems, or discontinued third-party platforms.
Inactive Student Status
Students may be designated as inactive if they:
- Fail to log into the platform for more than sixty (60) consecutive days
- Fail to respond to institutional outreach
- Demonstrate no measurable academic activity
Inactive students may experience:
- Delayed externship eligibility
- Delayed certification readiness review
- Suspension of academic support services
- Administrative termination pursuant to institutional policy
Reactivation may require reinstatement approval and payment of applicable fees.
Expired Enrollment & Reinstatement
Students whose access has expired before submitting an extension request and remain inactive for 30 days or more must apply for reinstatement.
Reinstatement is not guaranteed.
Reinstatement approval may require:
- Payment of all outstanding balances
- Payment of reinstatement fees
- Completion of updated onboarding requirements
- Compliance review
- Updated academic evaluation
- Transition into revised curriculum pathways
ACT reserves the right to deny reinstatement requests when:
- Excessive inactivity exists
- Certification standards materially changed
- The student previously violated institutional policies
- Operational or regulatory limitations prevent continuation
Externship Timing Requirements
Students pursuing externship participation are strongly encouraged to complete coursework and certification readiness requirements within the original enrollment period.
Extended delays may impact:
- Clinical placement availability
- Site onboarding eligibility
- Employer partnership timelines
- Certification alignment
- State-specific requirements
Effect of Extensions on Certification Exam Eligibility
- The covered initial certification exam attempt remains available throughout any approved extension period, provided the student satisfies all eligibility requirements in Section 12.
- Certification exam vouchers, once issued by the certifying body, are subject to the certifying body's own expiration rules (typically 90–180 days from issuance) and cannot be extended by ACT.
- Students are strongly encouraged to schedule their certification exam within 30 days of voucher issuance to avoid voucher expiration.
Non-Refundable Nature of Extension Fees
Consistent with Section 5 and Section 17 of this Enrollment Agreement:
- All extension fees are non-refundable once paid.
- If a student withdraws after paying an extension fee, no portion of the extension fee is recoverable.
- This policy is fully disclosed at the point of purchase and acknowledged by the student through electronic acceptance.
❓Course Extension Policy — Frequently Asked Questions (FAQ)
Will an extension hurt my academic standing?
No. Extensions and leaves do not affect your academic standing, externship eligibility, or career services access.
Can I get more than one extension?
Yes — as long as you stay within the 24-month (or 36-month for hardship) maximum cumulative enrollment limit.
What if I'm only a few days past my end date?
You have a 30-day grace period to request a Standard Extension at the regular $400 rate with no late fee.
What if my NHA/PTCB voucher already expired?
Unfortunately, ACT can't renew expired vouchers — that's controlled by the certifying body. Please use your voucher while your enrollment is active.
Can I switch from an extension to an LOA (or vice versa)?
Yes, with prior approval from the Director of Student Affairs. Contact Student Services to discuss your situation.
Are extension fees eligible for financial aid?
No. Extension fees are not eligible for Title IV funding and must be paid directly by the student.

If your enrollment has already expired, you may not be eligible for a standard extension.
Expired enrollments may require reinstatement review and additional fees before access can be restored.
Approval is not guaranteed.

Can I receive multiple extensions?

Will my course content stay exactly the same during an extension?
Not always.
ACT continuously updates curriculum, simulations, learning systems, and certification preparation materials to align with:

Students receiving extensions may receive access to updated versions of course materials or platforms.
Will an extension affect my certification eligibility?
Students remain responsible for meeting all certification eligibility requirements established by applicable certifying organizations.

Can I still participate in an externship if I extend my course?
Possibly.
